Personal Info and Access IDs

Two sections of a user record: who the person is, and the identifier that links them to physical systems.

Personal information​

Names are not cosmetic. They appear throughout the audit trail, on shared workspaces, on saved queries and on cases. An account whose name is blank or abbreviated makes every later review harder.

The email address matters more than it looks: it is where scheduled reports are delivered, so an out-of-date address means reports going nowhere with nothing to indicate it.

The Access ID​

The Access ID identifies the person to systems outside eConnect — most often a badge or card reader — so their physical presence can be associated with their eConnect identity.

Generating a new one​

Generate New Id replaces the existing identifier. Anything configured with the old one stops matching, so this is the right action when a badge is lost and the wrong one when somebody simply cannot find theirs today.

After generating, update whatever external system holds it — otherwise the person appears not to be where they are.

Time zone and clock​

The person's time zone and 24-hour clock preference sit under Preferences — see Preferences and Notifications.

Time zone is worth setting deliberately for anybody working across sites: it decides how every timestamp is displayed to them.

Users editing their own details​

People can change most of this themselves from their profile. Changes are audited whether made by the person or by an administrator.

Data protection​

These fields are personal data, and your organisation's obligations apply to them as much as to anything about subjects or plates. Keep them accurate, keep them current, and remove accounts that should no longer exist — bearing in mind that disabling is usually preferable to deleting.
