Exporting Data

Grids and aggregations export to CSV, for use in a spreadsheet or to hand to someone outside eConnect.

Exporting​

Use the export control on the grid or aggregation panel. The file downloads to wherever your browser or the desktop client saves downloads.

What is included​

The export reflects what you are looking at, not the whole underlying table:

So shape the grid before exporting rather than exporting everything and tidying up afterwards. See Columns, Sorting and Filtering.

Exporting an aggregation​

Aggregations export their totals rather than the underlying rows — the grouped figures as you see them. That is usually what you want for a report; when you need the records instead, drill into the group and export the rows.

Dates and times​

Times export as displayed, in the time zone set on your profile. Say which zone a file is in when sending it to someone in another one — a spreadsheet carries no indication, and this is a common and consequential misunderstanding.

Large exports​

An export covers the whole result, not just the page on screen. A query returning hundreds of thousands of rows produces a correspondingly large file that takes time to build.

If an export is unexpectedly slow or large, the query is broader than you meant. Narrow the date range or add a filter.

While it runs​

A large export shows its progress as it goes, and can be cancelled part-way. Cancelling leaves nothing behind: no partial file to mistake for a complete one.

That makes an over-wide export cheap to abandon. If you started one on a hunch and the count looks wrong, stop it and narrow the query rather than waiting for a file you will not use.

Before you send it​

An exported file leaves eConnect's permission system entirely. Whoever receives it can read all of it, regardless of what they could see in eConnect.

Two things worth a moment:

  • It contains what you could see, so sending it to someone with narrower access hands them data they could not otherwise reach.
  • It may contain personal data — names, plates, images references — which brings your organisation's data-protection obligations into play.

Export deliberately, and prefer sharing a saved query or a workspace to sending a file where the recipient has eConnect access.

What is recorded​

Exporting is audited as a query action, recording what was exported and over what period.

That record is what allows a later review to establish what left the system and who took it.
