Exporting a Case
A case exports as a package for somebody who does not have eConnect — an investigator, a legal team, a regulator, the police.
Producing one
Case Report generates the document. You choose what to include before it is produced, and a preview is available first.
The Export to Case flow works the other way: it adds material into a case as you find it, and is covered in Working a Case.
What to include
The reader is somebody without access to your system and probably without context.
| Include | Why |
|---|---|
| Case description and conclusion | What this is and what was decided |
| Comments | The reasoning, which nothing else conveys |
| Media | The evidence itself |
| Activity log | What was done, by whom, and when |
| Linked people | Who the case concerns |
The activity log is the one most often omitted and most often the one that matters. A package of evidence shows what exists; the log shows that it was gathered properly.
Choosing the clip range
Where video is included, the export form asks for the clip range as one block — a start and an end together, with a control to take either from the moment you are currently at.
Set it deliberately. The commonest mistake is exporting an hour around a thirty-second event, which produces a package nobody will watch and a file the recipient's mail system will refuse.
Preview before generating
Use the preview. It is faster than generating, reading, adjusting and regenerating, and it shows immediately whether the section choices produce a document that makes sense to somebody without context.
The package leaves eConnect
Once exported, the material is outside eConnect's permission system entirely. Whoever holds it can read all of it, and there is no way to withdraw it.
Three things to weigh before sending:
- It contains what you could see. A recipient with narrower access gets more than they otherwise would.
- It contains personal data and images, bringing your organisation's data-protection obligations into play — including wherever the package ends up afterwards.
- Follow your own disclosure process. Whether material should leave is a decision for whoever owns that process, not a technical question.
For colleagues who do have eConnect
Do not export. Give them access to the case itself: they get the current version rather than a snapshot, their access is governed by permissions, and what they look at is audited.
For sharing a line of enquiry rather than a finished case, share the Workspace.
What is recorded
Case media added, updated and removed are audited — types 704 to 706 — along with case updates and review. So a package can be reconciled afterwards against what the case actually held. See the Audit Catalog.
