Working a Case

The case detail is where the material accumulates: the evidence, the reasoning, and the record of who did what.

Media and attachments​

Video clips, images and documents are attached to the case. Anything that would otherwise sit in a downloads folder belongs here.

Attachments can be downloaded when somebody needs the file itself, and deleted when something was attached in error. Both are audited, so a piece of evidence that is no longer present can be accounted for.

Attach the clip when you export it. Exporting Video offers Export to Case directly, which is the moment you will actually do it.

Managing clips​

A case that has collected a lot of media gets a filter and a sort above the clips: filter by name or summary, order by when the clip was recorded, when it was added, or its name. On a case with forty clips that is the difference between finding the one you mean and scrolling for it.

A clip card carries its own menu: Play, Edit, Download and Delete.

Edit renames the clip and rewrites its summary in place — worth doing at the moment you add it, because "Camera 12, 21:47" tells a colleague nothing that the file name did not. The summary is what shows when somebody hovers the card.

Delete removes the clip from the case. Both are offered only while the case is open, and only to people whose permissions allow changing case media: a closed case is a record, and a record that can still be edited is not evidence.

Comments​

Comments are where the reasoning goes. The evidence shows what happened; the comments show what you made of it.

Two habits that make a case useful later:

  • Write the conclusion, not just the observation. "Void at 21:42 — matches the drawer count, no customer present on camera" is worth ten times "void at 21:42".
  • Record what you ruled out. The next person will otherwise repeat the work. Negative findings are findings.

Comments can be edited and deleted, and both are audited.

People​

Subjects and employees relevant to the case are linked to it, so a case reaches the subject profile and its detection history rather than holding a copy of a name.

That linkage is what lets somebody ask, months later, whether this person has appeared in other cases.

Auto-save​

A case saves itself. Ten seconds after you stop typing, the editor writes what you have; every further edit restarts that window. For the last six seconds a countdown appears, with a link to cancel it if you are mid-thought, and a toggle to turn auto-save off for the session.

This exists because of one specific loss: notes typed into a case and then closed without saving. Auto-save does not replace Save — it removes the case where forgetting it costs you the work.

Editing a comment​

A comment can be edited in place rather than corrected by adding another. Use it for what it is meant for — a typo, a name spelled wrong — and add a new comment when the substance changes, so the sequence of what was known when survives.

Review​

A case carries a review status, so it is clear whether it is open work, waiting on somebody, or finished.

Reviewing is audited distinctly — Case - Review (type 707) — which means "this was reviewed" is a matter of record rather than of recollection.

Reloading without closing​

Reload brings the case up to date without closing it: useful when a colleague is working the same case, or when media is being attached while you have it open. What you have typed and not saved is not lost to it.

Closing​

Closing records the case's conclusion.

This action is recorded in the audit trail.

Before closing, make sure the case says what happened. A closed case with evidence and no conclusion is a filing cabinet, not a record.
