Workspaces Shared With You

Items other people have shared appear in the Shared workspace section at the bottom of the Workspace panel, with a count beside the heading. New items appear without a refresh.

Reading the list​

Each entry shows the module it belongs to, its title, who created it and roughly when. That is usually enough to decide whether something needs your attention now or can wait — which matters when several colleagues are sharing into the same list during an incident.

Open an entry to read the note the sender attached. The note is where the reasoning lives, and it is worth reading before the data rather than after.

Opening versus forking​

The menu on a shared item offers two things, and the difference matters:

Open is for reading. Fork to my workspace is for continuing — it gives you your own copy to extend, rename and annotate without changing what the sender shared or what other recipients see.

A forked node records where it came from, so weeks later it is still clear that the branch began with somebody else's work rather than your own.

Editing a shared item​

If the sender enabled Others can edit, you can change the item's title and notes through Edit…. If they did not, those options are unavailable and the item is read-only for you — fork it instead.

When something will not open​

A shared item restores against your permissions. If a colleague shares a subject profile from a module you do not have, the item is listed but its contents will not open for you.

This is expected behaviour rather than a fault. The person to talk to is whoever administers permissions — see Assigning Groups to Users — not the colleague who sent it.

Keeping the list manageable​

Shared items accumulate, particularly after a busy incident. Fork the ones you are actually working from into your own tree, where you can star, rename and annotate them, and leave the Shared Workspace list as an inbox rather than a filing system.
